This guide will walk you through the process of entering a client's authorization information into Checkpoint EHR. While the system does not submit the authorization request to the payer, it is a critical tool for tracking and managing authorized sessions to ensure continuity of care and accurate billing.
1. From the navigation menu, select Clients.

2. Search for the client whose authorizations you wish to manage. On the Client Details page, select the Authorizations icon.

3. You will be able to view all current, past, and pending authorizations in a list. To add a new authorization, select the Plus Sign (+) icon. To edit an existing authorization, select the Pencil icon next to the entry you wish to change.

4. Enter the required authorization information and select Add or Save to complete the process.

Adding Authorization Details 📋
Once the new authorization form appears, enter all the required information. Providing complete and accurate details will ensure the system can properly track sessions and notify you of low units.
- Payer: Select the specific payer associated with the authorization.
- Authorization Number: Enter the unique authorization number provided by the payer.
- Start Date: Input the effective start date of the authorization.
- End Date: Enter the expiration date of the authorization.
- Total Authorized Units: Specify the total number of sessions or units approved for the authorization period.
- Service Type: Select the service code or type of therapy that the authorization covers.
After entering all the details, select Save to finalize the entry.
Best Practices 💡
- Enter Immediately: Enter authorization information into the system as soon as you receive it to begin tracking sessions immediately.
- Confirm Accuracy: Double-check all details, especially the authorization number and the number of authorized units, to prevent billing errors and alerts.
